Easy-Commission is an easy to use application to manage customer relationships, invoice customers and to calculate sales commissions. It takes sales data you enter, applies commission calculations you have set to produce commission statements. It is completely web based and allows your sales reps to have direct access to their commission statements.

What sort of data and functionality access does an Admin have?
By default Easy-Commission administrator has rights to access all the pages, Admin can
- Create Users-Reps, assign roles to the user and send Reps their login credentials

- Setup commission rules, run calculation process to determine commission amount
- View statements of all Reps
What is a Rep?
A Rep may be a sales representative or a sales manager or an agent who gets commission payouts.
How do we inform the Rep about his/her login credentials?
Login credentials for a Rep can be informed by editing the relevant Rep details and clicking on to Notify button. This action will send a system generated password to the Rep's login id (Email id).
What sort of data and functionality access does a Rep have?
Rep has rights to
- View his/her commission statement and dashboard
- Access the existing transactions, existing master data like customer, product, and opportunity, owned by the Rep
- Change his/her password
Is Rep information secured?
Yes, logged in Rep have access only to his/her relevant statement, dashboard and Report.
How does a Rep report a sale?
Rep can be given access to directly enter the sale OR Rep can send sales detail to the person responsible for commission calculation (compensation administrator) to record his/her sale.

Yes, Ads can be turned off for user with administrator privilege by upgrading to Economy edition. To turn off the Ads for both administrator and Rep user, you need to upgrade to regular edition.

How do I upgrade my Free / Free Trial edition to Paid (Economy / Regular) editions?

How do I upgrade from my economy edition to regular editions?
It is possible to upgrade from Economy edition to Regular edition. Please contact Easy-Commission support to help guide on this transition.
Can I create my own pages in Easy-Commission?
Yes, you can create your own dynamic pages using Page Designer provided under the Setup menu.

Can I import data into Easy-Commission?
Yes, Easy-Commission supports import of data to Transaction, Customer and Product tables.
What is a sales credit?
Sales crediting is a process to determine who gets credit for a particular sale and how much of the sale that person gets a credit for. Sales amount is normally credited to a single sales rep. Sometimes gross profit, number of units or other measures are used. Sales can also be split to multiple reps as well as provided as an override to managers and others.
What is the difference between a Commission Rule and a Commission Formula?
Commission rules primarily determine which of the transactions belong to which Rep. This is also called 'crediting the sale'. They also determine which commission rate calculation (Commission Formula), should be applied to which set of transactions. For example, commission rule can say
All transactions for customer "ABC, Inc" belong to "Andy Rep" and these transactions will be paid at "Flat 8%".
Commission Formula is a mathematical expression specifying the commission rate to be used.
An example would be:
- Flat 8% = 8%
- Threshold Rate 5% or 8% = If Sales Amount less than <10,000, commission rate is 5%. If not then the commission rate is 8%
How do I create a rule for rep?
Rule for Rep can be created by using commission formula and commission rules provided under the menu calculation rules.
How do I set a unique commission rate by product?
Create a unique Commission Formula per product. E.g. "Widgets - 5%"; "Bolts - 6%".
Then select transactions with that product using the Commission Rules and associate the unique formula to the unique product.
How can I calculate commissions based on Gross profit?
To calculate commission based on gross profit, use the formula variable 'Gross Profit' in commission formula; for example, create a commission formula, say 'Based on Gross Profit' with
- Commission rate as "10"
- Commission amount as "gross_profit * commission_rate/100"
Set the crediting part of commission rule to use value from Gross Profit, for example,
Any sale of product "Bolts" to customer "ABC, Inc", credit 100% of "Gross Profit".
Can I set goals/quotas in Easy-Commission?
Goals/quotas can not be set in Easy-Commission. But it may be possible to set up calculation expression that use goal/quota numbers
Can I setup draw rules in Easy-Commission?
Yes, Draw rules can be set in Easy-Commission.
Can I give commissions at different intervals for my reps?
All reps will be paid at the same calendar period frequency set for your company.
Can I set manager override using Easy-Commission?

Can I split the commissions between reps and pay commissions?

Can Data be exported?
Currently it is not supported. But it is planned for future releases.
Is my data completely secured?
Yes, we use 128 bit Advanced Encryption methods to protect your data while it is being communicated to the server. When you log into Easy-Commissions, you will see a small lock icon at the bottom of your browser display, indicating that a secure (SSL) connection has been established to the server. In addition, the URLs used to access your data on Easy-Commissions are all preceded with https instead of http, which also indicates that a secure connection is being maintained for data access from Easy-Commission.
What is the security mechanism that Easy-Commission follows?
Server: The credentials are all encrypted using advanced encryption techniques. The databases are also protected by additional security mechanisms.
Application: The passwords are all encrypted throughout the system. As the application is built on SAAS, all SAAS related security features will get automatically imposed.
For every user, one role is assigned and for every role, the object/table level security can be set. This implies that, the read/write access for the data can be set by the administrator as needed for every object/table. Moreover, the access for the records can be even set based on the owner of the record.
Will the infrastructure be able to handle the volume, performance expectations?
Our current architecture supports the ability to create multiple databases across multiple servers and thereby allows us to balance loads. Our application is hosted at dynamically expandable server with a high-performing scalable infrastructure.
Is it possible to recover the previous data of a company, in case of customer messing up the data?
We do perform daily backup of the data. If needed, previous data pertaining to the company can be restored and it will be charged separately.
Easy-Commission does not seem to have the features to satisfy my needs. Are there any options?

What do you mean by Advertising Opt-in?
We use ad revenue to pay for the resources necessary to support the Economy use of the software. Advertising normally consist of advertising within the application. We expect to display a banner ad at the top and ads on the right side of the screen. The Regular/Economy Edition will not display any such ad.
What sort of data and functionality access does a Manager have? Can I set up access for a Manager so that they can review all their Rep information only?
By default, Manager does not have any separate access rights. But a separate role and access rights can be created for the Manager [available only in Regular Edition]. Currently Manager has access to all data in any tables he/she has access to.
How do I set up a formula so that my manager gets an override of 1% on all sales?
To make the manager get an override of 1% on all sales, commission formula specifying the 1% rate has to set first. For example, in commission formula, assume "1% rate" as formula name, set
Commission rate to "1" and
Commission amount to "sales_amount * commission_rate/100"
Now set the commission rule for the condition " 'Manager' gets 1% of sale made by his/her subordinates 'subordinate1' or 'subordinate2' ". Here, manager gets the override for sale made by two of the Rep's. Similar rule has to be set for rest of the subordinates in order to make a manager override of 1% on all sale.
I have recurring revenue that repeats every month? Do you have to re-enter the transaction every month?
Yes, the transactions responsible for recurring revenue have to be entered every month.
I need to set up just 1 user and none of my sales reps need access, do I still have to pay for each sales rep?
It does not matter if sales reps get access or not, you pay for the sales user-rep being set up.
As part of sales commission, a recoverable draw is paid to the sales person. Is the draw amount taxable?
It depends!
The draw amount is taxable if it is provided through payroll. Example, if the salesperson is on a draw of $5,000. If in month 1, they earn $3,000 in commissions and you provide a draw of $2,000 to make the total amount equal to $5,000, then you will be calculating taxes on $5,000 worth of income. If in month 2, they earn $7,000 in commissions, then you would recover $2,000 for the draw you already provided leaving them $5,000 in income which is taxable. Generally the tax effect should wash out as you recover the draw.
If the draw is not provides as part of payroll and given as a separate check and treated distinctly as a loan, then it is not taxable. You may have to charge interest depending on the amount and term of the loan. There are imputed interest rules if the loan is over a certain amount and term. If the loan is forgiven, it will become income to the employee and will then become taxable. Different rules apply for owners of the firm. Your accountant may need to clarify further.
Is the master data like Customer accessible to all Reps having access to the system? If not, how to make it accessible for all or selected Rep?
Every record in the application is actually 'owned' by the person entering the record. The users have access only to those particular records which has their id set in 'Owner' field. So if the sales person enters it, then he owns it and sees it. Other sales people do not see it. The administrator (master login) has higher level access and can see all the data.
To make the master record accessible to all Reps, set 'Owner' field of those records to "No Owner". In general, only the administrator can change the Owner of a record.
To make the master data available only to specific Rep, Owner field of the records can be assigned the Rep's user id. So, only administrator and specific Rep can access those records.
Can I set a plan so that selective transactions from a given customer have a bonus paid out and remaining transactions being considered with a standard commission paid out for all sales for that customer for the year?
Yes it can be done. In Group page, which is available under Master Data menu, add a group called "Initial Trans" (or any other value) you want. While entering those selective transactions use this value in the Group field.
In the Plan, add another incentive called "Initial Bonus" (or any other name), then in the section where commissions are defined, select the option "Commission rate different by Group", fill Group = "Initial Trans" and set the bonus amount to pay.

I have an administrative user and a few sales reps. I don't intend to provide access to the sales reps. Do I have to pay for one license for the administrator or for licenses for the user and all the sales reps?
You need a license for every user-rep record set up in the system. You have the choice of not providing access to a particular rep or user (and still calculate commissions for that rep), but the license fees will still apply.
Can the commissions be calculated based on created or paid invoices?
Yes, commissions can be calculated for created as well as paid invoices. You can use the date field in transaction, to make the system consider it for commission calculation for that period. If invoiced transactions are to be considered then Date field should have invoiced date; for paid transactions it should have paid date.
Do I need to cancel my free trial account so that am not charged after the free trial account?
No explicit cancellation of free trial account is needed. The account will automatically expire after 15 days. Please note that registration of free trial edition accounts do not involve any card information.
What will happen to my free trial edition account after the 15 day free trial period? Will it be automatically converted to a paid version and license fees charged to me?
After the 15 day free trial period, the free trial account will be de-activated / cancelled. The free trial account will not be automatically converted into paid edition unless you decide to subscribe for paid editions by making the payment yourself.
Do I need to provide my credit card information for using the free trial version?
No, Card information need not be provided for evaluating the product by free trial edition.
Is activation key different from password?
Yes, activation key allows you to activate your account with Easy-Commission where as password is the one that you provided during registration for log on. Upon registration, you will be contacted by one of our consultants, with the activation key for your account. Only activated accounts can be logged on.
What is the override level that Easy-Commission supports?
Easy-Commission supports only one level of override. I.e. Manager can get override commission for the sale made by Rep who is directly associated.
Does Easy-Commission support myOneLogin?
Currently it is not supported. But it is planned for future releases.
Does Easy-Commission support QuickBooks® online?
Yes, Easy-Commission can import from your QuickBooks® online account.

Will I get copy of my records (data) on cancelling my account with Easy-Commission?

Can I use an excel format that lists the customers and sales data and have that dump into each reps info?
Customer and Sales data in excel can be imported to Customer and Transaction tables but not into Rep table.
Can I specify which invoice line items are to be imported from QuickBooks® or does the application import all items?
Currently, Easy-Commission imports all of the invoice line items from QuickBooks® .
Can I replace the Easy-Commission logo with our company logo?
Yes. Easy-Commission logo can be replaced with your company logo using the Logo option available at Master Data > Company page inside the application. This option is available only in Regular Edition.
I want to add users-reps to my current subscription. How can I do that and how will I be charged?
Once logged in, you can add user-reps to the current subscription in the About page, which is available under the Help menu. Your account will be immediately enabled for new user-reps so that you can proceed with setting up and paying commissions for those new sales reps. Our accounting team will be contacting you with the prorated subscription charges.
My number of reps may reduce during the license period. How will my charges be affected?
You can notify us about this request, at the About page, which is available under the Help menu using Feedback option. There will be
no refunds provided for subscription reductions in the current subscription period. In the next subscription period, you will be charged for the reduced number of users-reps.
I use QuickBooks® . Do we manually have to enter all the data, i.e. customers and products or is it fully integrated with QuickBooks® and will import the data already in our QB software?
Key information from QuickBooks® will automatically get imported in. Customers and Products will get imported. Invoice transactions and credit memos will get imported. Please

QCommission system, which CAN import almost all the data, transactions available in QuickBooks® .
Our commission is based on Gross Profit; can we calculate commissions on Gross Profit?
We have limited Gross Profit functionality, since this can be done in a lot of different ways and it is hard to keep it simple and easy.
As part of the import of Invoices from QuickBooks® , the system will bring in the cost found on the Item record for each invoice line. The difference between cost and sales amount on the invoice line will be shown as profit for the line. You can use this amount to calculate commissions.
We do not calculate complex gross profit commissions using PO, Bills, time sheets, Customer jobs, etc.
If you summarize your invoice/sales records and enter/import it as a single line with pre-calculated Gross Profit, we can use that in calculations.
If this does not work for your needs, you can use our
QCommission system, which CAN do all the complex Gross Profit calculations you need.
We have a commission scale based on Gross Profit, i.e. we pay higher commission % when reps hit higher GP targets, can we implement this?
On an invoice line-by-line basis (not at a total Invoice level), you could use the formula to pay at higher rates when higher Gross Profit levels are reached. You may need assistance to get this formula setup.
If this does not work for your needs, you can use our
QCommission system, which CAN do all the complex tiered calculations you need.
Why can't I get support while I am trying out Easy-Commission?
To keep Easy-commission affordable we do not provide any support prior to sales. It is a self-service free trial. If you need support, then you will have to subscribe to a minimum number of licenses. It costs only about $60 for a 3 month subscription for a minimum number of licenses.
How do I activate my account?
Upon registration, you will be contacted by one of our consultants, with the activation key for your account. During this discussion, they will understand your commission requirements and will guide you through the commission setup in Easy-Commission.Alternatively, contact
Easy-Commission support for further assistance.
If I am not satisfied with the application, will my subscribed amount be refunded?
Currently there are
no refunds provided for paid fee. Prior to purchase, to evaluate the application as per your commission needs, Easy-Commission offers free trial versions of the application, so that more time is available to evaluate before subscribing for a premium edition.
Will the company provide training manual specific to my account?
Similar to most web applications out there, we are expecting the users to train themselves with the
demos and
resources that are available in the website. Additionally, help pages can be used for guidance once you are inside in the application.
Considering the volume of customers and their uniqueness in commission process and plans, we are unable to create and support user-specific training manuals within the subscription pricing that we currently offer. However, we can provide templates for this, if you consider creating the document by yourself. If you still want us to create the document for you, it will be chargeable based on the effort involved.
In Import from QuickBooks® feature, how can I exclude the non-commissionable items like shipping charges from getting imported to Easy-Commission?
As part of import from QuickBooks® feature, all of the items will get imported. However, after import, the "Commissionable" flag for non-commissionable items (Ex: Shipping Charges) can be set to "False" in Easy-Commission Product page. It will exclude all relevant sales transactions from getting calculated for commissions. This is just a one-time activity, since subsequent imports will retain this setting.

Can I do a manual adjustment to cost before the actual commission is calculated? For example, if the cost carries over from QuickBooks® as $50, and I want to make it $60 before the commission is calculated, can I do that?
You can always change the cost of the relevant transactions to $60; after the data gets imported and before the commission gets calculated.

We will have charge backs/refunds as part of our business and we create credit memos in QuickBooks®; Does Easy-Commission imports credit memo?
Yes. As part of invoice import, Easy-Commission brings in the credit memos too.
Will Easy-Commission software integrate and automatically sync with my QuickBooks® premier 2011?
Yes, Easy-Commission will integrate with QuickBooks® premier 2011. The import from QuickBooks® will have to be initiated manually before calculating commissions for each period.
I am maintaining classes as Sales Rep in QuickBooks® online, will Easy-Commission able to import those classes?
Yes, Easy-Commission will be able to import classes from QuickBooks® Online. During the import process Easy-Commission will create the classes as Sales Reps based on “Consider Class as Sales Rep in Easy-Commission” option in the From QuickBooks® Online page. To choose the option,
- Select Payout Process > Import > From QuickBooks® online
- Enable “Consider Class as Sales Rep in Easy-Commission” option
- Click “Authenticate QuickBooks® online Company” link to authenticate Easy-Commission with QuickBooks® online.
- Once authorized, click “Import Data” button to start the import process.
- Select Master Data > Rep to view the Imported Sales Rep data.
We have sales that involves more than one sales rep, can import of data from QuickBooks® online handles this automatically?
Yes, Easy-Commission will support split Rep in QuickBooks® online. During the import process when you select “Consider Class as Sales Rep in Easy-Commission” option, Easy-Commission will bring the classes as the Sales Rep. When you give slash (/) between two classes in QuickBooks® online these classes will consider as a split rep in Easy-Commission.
Example
If Reps “Rep1” and “Rep2” are existing classes in QuickBooks® Online. Then to handle splits, we need to create a class as “Rep1/Rep2”, associate to the invoice and import it to Easy-Commission.
In QuickBooks® we are maintaining cost of item at different pages like Assembly, Purchase Order. During Import process, which item cost value will get considered?
During the Import process, Easy-Commission will bring the cost only from the “cost” field of Item in QuickBooks® desktop version.
How can I create a customized statement template?
Easy Commission allows to customize commission statement templates to view Sales Rep statements from “Statement Designer” page. Here you can re-arrange the fields, rename the captions, and formatting the field values. More information about using statement designer is available

Which edition of Easy-Commission will have import from Xero feature?
The Xero import feature is available in both Regular and Economy Editions of Easy-Commission.
I have multiple organizations attached to my Xero account. Is it possible to import data from all my organizations?
Yes. It is possible to import data from multiple organizations provided user has to choose the right organization on the authorization. But this is not recommended because same customer name invoices imported which cause duplication issues.
I need to import data based on my payments from Xero Account, will it supported in Easy-Commission?
Yes. Easy-Commission does support paid based invoices.
I have my data in my custom fields of Xero account. Will it supported in Easy-Commission?
No. Easy-commission does not have custom fields of Xero.
Can I make a product as non-commissionable?
Yes, it can be done in few steps.
- Goto Master Data >> Product
- Edit a product and uncheck the "Commissionable" flag
How do I Cancel the Easy-Commission subscription?
Cancellation of subscription can be done by below steps
- Kindly send an email to Easy-Commission support team with subject as “Request for cancellation”.
- Upon receiving the email, one of our support person would contact you for getting cancellation needs.
- Internally we would raise a request to Accounting team for further processing. It would take a week to complete the cancellation process.
- Cancellation would be effective only from next Subscription period. Till then Easy-Commission Application can be accessed.
Country wise discount is applicable for renewal?
No. Country wise discount is applicable for Registration/Subscription only.
